It’s like a safety net—something you can rely on because you can see it, touch it, and know exactly where it is. But as comforting as paper might be, it’s actually more of a burden than a benefit in today’s fast-paced, interconnected world.

Think about it; that single piece of paper can only be in one place at a time. If someone needs to access it, they have to physically be where the paper is, or you need to make copies (which only multiplies the chaos). In contrast, an electronic document can be everywhere at once. Whether you're in the office, at home, or halfway around the world, you can access the document with just a few clicks.

Now, I know what you’re thinking—what if I lose it? It’s true, digital documents can be lost, but here’s the kicker: your chances of finding them again are much better. With today’s powerful search capabilities, you often only need to remember one word from the document, and voilà, you’ve found it. No more rifling through stacks of paper or digging through file cabinets.

Plus, electronic documents offer so much more flexibility. You can comment directly on the document, collaborate with multiple people in real-time, send it off for approval with a few clicks, and even keep an audit trail of who opened it, who edited it, and when—all without ever leaving your desk.

I get it—there’s a sense of control that comes with having a physical document in your hands. You can lock it up in a cabinet beside your desk, safe and sound. But let’s be honest: how many people will eventually need access to that document? If more than one person needs to get their hands on it, you lose control and the ability to track who’s seen or touched it.

This is why it’s essential to think of files as a single source whenever possible. Instead of making copies, give access to the same document to all key stakeholders. Update the version, make edits directly to the original, and keep everything streamlined. It’s all about educating yourself and your team on the best practices that work for you and creating processes and expectations to follow.
